Information on the Processing of Personal Data (GDPR)

  1. The controller of your personal data processed in the course of the admission procedure is Maria Curie-Skłodowska University in Lublin, with its registered office at Plac Marii Curie-Skłodowskiej 5, 20 031 Lublin, hereinafter referred to as the University.
  2. The controller may be contactedby post (at the University’s address, indicating the organisational unit to which the correspondence is addressed), by telephone at +48 81 537 51 00, or electronically via correspondence addressed to the Data Protection Officer.
  3. The controller has appointed a Data Protection Officer (DPO), who may be contacted by email at: abi@umcs.lublin.pl.
  4. The DPO may be contacted in all matters relating to the processing of your personal data by the University and the exercise of your rights related to personal data processing.
  5. The tasks of the DPO do not include the handling of other matters, such as providing information on the admission procedure, accepting applications or other recruitment-related documents, or providing information on the University’s educational offer.
  6. Your personal data, including personal data in the form of audio or video recordings documenting the course of entrance examinations or qualification interviews conducted outside the University premises using information technologies ensuring supervision and recording of their course (where you have given consent to the recording of the examination or interview), shall be processed for the purpose of conducting the admission procedure to studies at the University.
  7. The processing of your personal data is necessary for compliance with the legal obligations incumbent upon the University in connection with the performance of tasks specified, inter alia, in the Act of 20 July 2018 – Law on Higher Education and Science (Journal of Laws 2020, item 85, as amended), executive regulations issued on the basis thereof, and internal regulations binding at the University (Article 6(1)(c) GDPR), in conjunction with Article 6(1)(e) GDPR (processing necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in the controller).
  8. Your personal data may also be processed for the purpose of concluding an agreement on the organization of studies (Article 6(1)(b) GDPR).
  9. Your personal data may further be processed on the basis of the controller’s legitimate interest, namely the right to establish, pursue, and defend legal claims (Article 6(1)(f) GDPR).
  10. Any other personal data not required for the purposes indicated above may be processed on the basis of your separately granted consent (Article 6(1)(a) GDPR). Consent may be withdrawn at any time, inter alia, by making changes in the admission system or by sending a message via the Online Recruitment System. Withdrawal of consent shall not affect the lawfulness of processing carried out on the basis of consent prior to its withdrawal.
  11. Processed data shall not be sold or disclosed to external entities, except for entities authorized under provisions of law, including entities with whom the University has concluded relevant agreements.
  12. Your personal data shall be processed for the duration of the admission procedure and, after its completion, for a period of six months. Where applicable, personal data shall be processed for the period necessary to establish, pursue, or defend claims. Where you have consented to being informed about future admission procedures, your data shall be processed for that purpose until the consent is withdrawn.
  13. Access to your personal data shall be granted to authorized employees or collaborators of the University, including members of admission committees, who process such data in connection with the admission procedure.
  14. Recipients of your personal data may also include entities entrusted by the controller with the performance of specific activities involving the processing of personal data, e.g. providers of external services, including IT services. In order to ensure the highest possible level of personal data protection, the entrustment of data processing to such entities shall take place solely based on an agreement concluded by the University.
  15. Your data shall be protected by standards set out in the Privacy Shield approved by the European Commission, ensuring an adequate level of data security.
  16. The University guarantees the exercise of all your rights under the GDPR, namely the right to:
    1. access personal data and obtain a copy thereof;
    2. rectification (correction) of personal data;
    3. data portability;
    4. restriction of the processing of personal data;
    5. erasure of personal data (subject to Article 17(3) GDPR);
    6. lodge a complaint with the President of the Personal Data Protection Office if you consider that the processing of personal data infringes data protection regulations, and to pursue your rights before a court of law;
    7. withdraw consent and object to the processing of personal data, where participation in voluntary initiatives during the course of studies requires the student’s consent.
  17. Provision of personal data is necessary to participate in the admission procedure. Provision of other data not required for participation in the admission procedure is voluntary.

Regulations of the Online Recruitment System  (SOR) at UMCS

  1. A candidate establishes an account in the online registration system referred to as the Online Recruitment System (hereinafter: the “System” or “SOR”) only once (one account), regardless of the number or type of degree programmes for which the candidate intends to register.
  2. Service of correspondence and administrative decisions recorded in electronic form shall be effected via the candidate’s SOR account, which constitutes an ICT system within the meaning of Article 358a of the Act of 20 July 2018 – Law on Higher Education and Science (Journal of Laws 2022, item 574, consolidated text), in conjunction with Article 39 § 1 of the Code of Administrative Procedure.
  3. Upon establishing an account, the candidate gains the ability to log in repeatedly using the username indicated at the time of account creation (the email address provided during registration) and the assigned password.
  4. The University shall not be liable for disclosure by the candidate of their login credentials to third parties or for access to the candidate’s account by an unauthorized person. Any changes made to the candidate’s individual account by an unauthorized person shall be deemed changes made by the candidate and for the candidate’s benefit.
  5. Proper establishment of a candidate account requires completion of all mandatory data and information fields. Registration for particular degree programmes may require the provision of additional data.
  6. Failure to provide all required information precludes participation in the admission procedure. Incorrect provision of required information, for which the candidate is responsible, shall be borne by the candidate and may result in incorrect qualification or refusal of admission.
  7. The University shall not be liable for failure to provide or incorrect provision of required information by the candidate. Correction of data obtained from the National Matura Register in Poland (KReM) is possible only where changes have been confirmed in accordance with applicable legal provisions.
  8. Correction of data entered incorrectly by the candidate in their individual account may be made until the end of the registration period for the selected programme. In the case of registration for more than one programme, correction is permissible provided it does not affect qualification for other programmes.
  9. After establishing an account, the candidate selects the level of studies, mode of study, and degree programme applied for, and is then required to pay the application fee via the online payment system for each programme applied for.
  10. Completion of all required data, payment and posting of the application fee constitutes a condition for participation in the admission procedure.
  11. The application fee must be paid before the registration deadline for the selected programme exclusively via the electronic payment system available in the System. Failure to make payment or to register for a programme precludes participation in the admission procedure.
  12. The amount of the application fee depends on the type of programme and the mode of qualification procedure.
  13. A candidate registering for multiple programmes shall pay a separate application fee for each programme. The total admission fee constitutes the sum of fees payable for the selected programmes.
  14. The admission fee for programmes without entrance examinations is PLN 85. For programmes requiring an entrance examination or qualification interview, the fee is PLN 100. For programmes requiring an assessment of artistic aptitude, the fee is PLN 150.
  15. Payments shall be made in PLN (Polish złoty). Payments made in other currencies shall be automatically converted into Polish currency by the online payment system.
  16. The candidate is obliged to verify the payment, priority settings, and assignment of the application fee to the selected programme(s).
  17. Withdrawal from a programme may be made until the registration deadline specified in the admission schedule. In the case of a study programme for which admission is based on the submission of a complete set of required documents, deregistration is possible until the admission status is changed into ‘admitted’.
  18. Application fees are non refundable, except in cases where the relevant study programme is not launched due to an insufficient number of candidates, or where an overpayment is recorded on the applicant’s account, including situations in which the applicant registers for a smaller number of programmes than would correspond to the amount of the fee paid.
  19. An overpaid application fee may be credited towards the study programme for which the applicant registers after the occurrence of the overpayment or the physical student ID card.
  20. The decision regarding the refund of the application fee shall be made by the Vice-Rector competent for recruitment matters, following the completion of the recruitment process, based on a written application signed by the applicant. The application may be submitted by traditional mail to the address of the Admissions Office or by sending a message from the applicant’s personal account in the Online Recruitment System SOR) with the subject line “Application Fee Refund”. The application may also be submitted in person at the Admissions Office or sent by electronic mail to the Admission Office’s email address (rekrutacja@umcs.pl ). In addition to the applicant’s registration number (identifier), the application must specify the bank account number to which the refund is to be made, as well as the full name of the account holder indicated for the refund. The refund shall be effected without undue delay, and in any event no later than within 30 days.
  21. Where an applicant is not qualified for admission to the selected programme in the primary qualification procedure (first round of recruitment – the first list of qualified applicants), the applicant may participate in the supplementary qualification procedure (subsequent recruitment rounds). Participation in subsequent stages of the supplementary qualification procedure shall be covered by the recruitment fee already paid. Any change of the field of study during the recruitment process, as well as participation in an additional recruitment procedure, shall require the payment of a separate recruitment fee (applies to programmes in Polish).
  22. An applicant who has been qualified for admission and who fails to submit the required documents within the deadline specified in the recruitment schedule shall be deemed to have withdrawn from admission to the studies.
  23. An applicant who has withdrawn from the recruitment process shall not be taken into consideration in the supplementary qualification procedure(s). In such a case, the applicant shall not be entitled to a refund of the recruitment fee.
  24. For security reasons, the entry of incorrect login details three times shall result in the blocking of the applicant’s individual account. A password for logging into the Online Recruitment System (SOR), whether forgotten or lost, may be recovered by the applicant independently via the “password recovery” option. Setting a new password requires the provision of information required by the system.
